Application Overview

Unlike the upcoming ETIAS system, Schengen visas cannot be applied for online. You must submit your application in person at an embassy, consulate, or authorized visa application center (VAC) like VFS Global or TLS Contact.

The process involves gathering documents, booking an appointment, attending an interview, and waiting for a decision. Start early — the entire process can take several weeks.

7-Step Application Process

  1. 1

    Determine where to apply

Apply to the country that is your main destination (where you'll spend the most time). If visiting multiple countries equally, apply to the country of first entry.

  2. 2

    Gather your documents

Collect all required documents: passport, photos, insurance, bank statements, travel itinerary, accommodation bookings, and proof of employment or income. This is the most time-consuming step.

  3. 3

    Complete the application form

Fill out the Schengen visa application form (available online or at the embassy). Answer all questions accurately — inconsistencies can lead to rejection.

  4. 4

    Book your appointment

Schedule an appointment at the embassy, consulate, or VAC. During peak season, appointments may be weeks out, so book early. Some locations allow walk-ins.

  5. 5

    Attend your appointment

Bring all documents, pay the visa fee (€80 adults), provide biometrics (fingerprints and photo), and attend a brief interview about your travel plans.

  6. 6

    Wait for processing

Processing typically takes 15 calendar days, but can extend to 45 days in complex cases. Track your application online if available.

  7. 7

    Collect your passport

Once decided, collect your passport with the visa sticker (if approved) from the same location where you applied, or have it delivered.

Where to Apply

Apply to your main destination country's embassy (where you'll spend the most time). If equal time in multiple countries, apply to the country of first entry. Many embassies use VFS Global or TLS Contact for processing.

Apply Early

Visa appointments can be booked weeks in advance during peak travel season (summer, holidays). Start the process at least 4-6 weeks before your planned travel date. You can apply up to 6 months in advance.

The Application Form

The form is standardized across all countries — download from the embassy website. It covers personal details, passport info, trip purpose, travel history, and finances. Answer truthfully; inconsistencies lead to rejection.

What Happens at the Appointment

  • Document review: Staff will check your documents are complete and meet requirements
  • Biometrics collection: Digital fingerprints (all 10 fingers) and a photo will be taken
  • Fee payment: Pay the visa fee (usually card or cash)
  • Interview: Brief questions about your trip purpose, itinerary, and ties to your home country

After Your Application

Once submitted, your application goes through several checks:

  • Document verification: Are all documents authentic and complete?
  • Background checks: Security and immigration database checks
  • Assessment: Is there a genuine purpose? Will you return home? Can you support yourself?

You may be contacted for additional documents or a follow-up interview. Most applications are decided within 15 days, but it can take up to 45 days.

Application FAQs

Can I apply for a Schengen visa online?
No. Schengen visas require an in-person application at an embassy, consulate, or authorized visa application center. You must provide biometrics (fingerprints) which cannot be done remotely.
How far in advance should I apply?
Apply 4-6 weeks before your trip, but no more than 6 months in advance. During peak season, appointments book up quickly, so don't wait until the last minute.
What if the embassy for my destination country isn't in my country?
Some countries have representation agreements where another Schengen country handles their visas. Check the destination country's foreign ministry website to find which embassy serves your location.
Can someone else submit my application for me?
Generally no — you must appear in person for biometrics. However, if you've provided biometrics in the last 59 months, some embassies may allow a representative to submit documents on your behalf. Check with your specific embassy.
What happens if my application is incomplete?
The embassy may reject your application outright, or give you time to provide missing documents. This delays processing. It's best to ensure everything is complete before your appointment.
