What is an Invitation Letter?

An invitation letter is a document from a host in Europe inviting you to visit. It confirms your trip's purpose and shows you have accommodation.

Invitation letters are required (or strongly recommended) when:

  • Staying with friends or family instead of a hotel
  • Attending a business meeting or conference
  • Visiting for any purpose where someone in Europe is expecting you

What to Include (Personal Invitation)

  • Host's full name and contact information
  • Host's address in the Schengen country
  • Host's legal status: Citizen, resident, visa holder
  • Your full name and passport details
  • Your relationship: How you know each other
  • Visit purpose: Why you're coming (vacation, family event, etc.)
  • Visit dates: When you'll arrive and depart
  • Accommodation: Confirmation you'll stay at their home
  • Financial responsibility: Whether they'll cover any expenses
  • Host's signature and date

Additional Host Documents

Your host may also need to provide:

  • Copy of their ID/passport: Proving identity and legal status
  • Proof of residence: Utility bill, lease, or property deed
  • Proof of relationship: Photos, previous visit stamps, communication history
  • Bank statements: If sponsoring your trip financially

Requirements vary by embassy — some require notarized letters, others accept signed documents.

Some Embassies Require Official Forms

Certain embassies (especially Germany, France, and the Netherlands) have official invitation letter forms that must be filled out by your host. Check the specific embassy's requirements before having your host write a freeform letter.

Business Invitation Letters

For business visits, the inviting company in Europe should provide a letter including:

  • Company letterhead: Official company stationery
  • Your name and details: Who is being invited
  • Purpose of visit: Meetings, training, conference, negotiations, etc.
  • Dates of visit: When you're expected
  • Who will you meet: Names and positions
  • Who covers costs: Company or yourself
  • Contact person: Name, position, contact details
  • Company registration: Some embassies want registration numbers

Invitation Letter FAQs

Is an invitation letter mandatory?
It's required if you're staying with someone instead of a hotel, or for business visits. For pure tourism with hotel bookings, it's usually not needed. However, having one from a friend or contact in Europe can still strengthen your application.
Does the invitation letter need to be notarized?
Some embassies require notarization or official attestation, others don't. Germany and the Netherlands often require "Verpflichtungserklärung" (formal sponsorship declaration). Check your specific embassy's requirements.
Can I get an invitation letter from a hotel?
A hotel booking confirmation serves a different purpose — it proves accommodation. An invitation letter is from a person or company inviting you. If staying at hotels, you need booking confirmations, not invitation letters.
What if my host is not a citizen but a resident?
Residents (with valid residence permits) can invite guests. They should include a copy of their residence permit along with the invitation letter. The embassy wants to see the host is legally in the country.
Can I have multiple invitation letters?
Yes, if you're visiting multiple people or companies. Include all relevant invitation letters. If visiting friends in France and business partners in Germany, get letters from both.
